Hiring businesses and organizations are faced with their own challenges. While sorting through applications employers must find a balance between desired experience and realistic compensation, and with the volume of people seeking employment, this can be a daunting task. Especially if you are already understaffed. The solution? A semi-automated screening process in the form of an online application form! Using a professional online survey tool like Checkbox, employers can build qualifying forms to effectively filter applicant pools and streamline the hiring process.

Here are eight tips for building online application forms with Checkbox:

1. Checkbox offers conditional logic, which allows you to tailor forms to applicants based on their answers. For example, let’s say you ask the following question: “Do you have experience working in customer service?” If the answer is “Yes” you can use conditional logic to ask a follow-up question, such as “Please describe your previous experience working in customer service”. If the answer is “No” you can instead show the applicant a message stating that previous experience in customer service is required for the position. Conditional logic streamlines the application process for applicants and makes it easier for HR to review submitted applications.

2. Branching is a Checkbox feature that lets you create table of contents style surveys and forms. For example, let’s say you have several positions available and each position has a different set of questions. You can list all of the positions on page 1 and then create a branching rule for each option that skips applicants to the correct section based on their selection.

3. Utilizing Checkbox’s scoring functionality allows you to associate a numeric point value with each multiple-choice answer in your application form. For example, if the available position is in management, you may ask the question “For how long have you worked in a management role?” with the possible choices:

a) I have never had a management role
b) 0-3 years
c) 3-5 years
d) over 5 years

When scoring is enabled, you can assign points to each possible answer option. In this example, “over 5 years” will have the highest possible point value, and “I have never had a management role” will have the lowest possible point value.

Use an applicant’s total score to determine whether or not to move forward with the application process. You can even display a scoring message to applicants tailored to their total score.

4. Collect as much contact information from applicants as you want using custom open response items. You can even ask Checkbox to validate answer formats, such as email addresses, phone numbers, and dates!

5. Include one or more file upload items to allow respondents to attach a resume, cover letter, or portfolio.

6. Set up email alerts and email responses for real-time application submission updates. At a glance, HR can see an applicant’s entire response summary without ever having to enter their Checkbox account.

7. Do you have a global company with available positions in multiple countries? No problem. Checkbox’s multilingual capabilities allow you to offer the application in any language of your choosing.

8. Checkbox Survey offers a number of survey sharing options, including email invitations, Twitter, Facebook, or by simply copying and pasting your application URL anywhere on the Web. By popular demand, we’ve added the option to add basic HTML styling to question item options and matrix rows. This means you can now do things like make one answer bold or a different color, add a line break within a matrix row, etc.

Multi-Language survey Preview:

Survey Admins and Editors can now preview their surveys in each language for which the survey is set. The survey will automatically preview based on the language chosen in the edit mode.

Enhancements:

• Survey workflow has been optimized to work with a larger number of pages and conditional logic.

• Several performance increases were made regarding how user data is loaded, which should increase overall performance of the application.

• Sorting lists can now be done by clicking on the column headers.
• Several IE10 compatibility issues have now been resolved. Checkbox v6 should now fully support Internet Explorer 10.

Bugs Fixes:

• Attempting to edit a survey that contains quotes in the name should no longer prevent the survey from being edited in the future.

• Fixed several encoding issues while viewing individual responses. This was preventing the view response page from loading correctly.

• Printing a response in Firefox or IE should now print the full response, not just the first page.

• Survey Administrators should no longer be able to complete a response for a deleted survey.

• Application should no longer throw an error when attempting to reset a password.

• Folder names can now contain up to 50 characters. This was preventing upgraded accounts from being able to edit folder names.

• Exporting a style should now export a file with the styles name instead of CheckboxStyleTemplate.

• Slider Item with Images should no longer cover the description text for the slider.

• Fixed the size of several dialogs to allow the ability to save the content within the dialog.

• Deleted objects should no longer appear in the universal search.

• Resolved several timeline issues which were preventing certain objects in the timeline from appearing.

I did a quick search for “spring cleaning” in my own cluttered inbox and I’m embarrassed to admit that I had search results showing up from 2008. I am officially an email hoarder. The clean-up doesn’t stop with email, either. We each have our own personal online empires to keep track of. In addition to email we have to organize our web-based photos, calendars, documents, contact lists, and yes, even our online surveys.

This spring, why not take a few minutes each day to tidy up your Checkbox account? Below are a few tips for keeping your Checkbox surveys and users safe and clutter-free:

1. Organize surveys into folders. Whether it’s by region, date, or some other category, establish a folder system that works for your organization. If you have multiple users accessing surveys and reports, be sure everyone is in the loop as to what belongs where.

2. Organize users into groups. Implementing user groups makes tasks like sending targeted survey invitations and setting access permissions for a group of users quick and hastle-free.

3. Make sure your user data is up-to-date. When uploading a list of users that already existing within the User Manager, Checkbox gives you the option to update existing user data, such as user roles, group memberships, and profile properties. This feature makes is easy to keep your user data current. Another way to update user data is to send a survey to existing users that includes a Profile Property Updater item. This item allows registered Checkbox users to update their own user information.

4. Export all surveys and responses and create backups. This should really be done on a regular basis to avoid having to do it all at once (most likely during spring cleaning time!). Backing up survey and response data is especially important if you have multiple users accessing surveys. If someone accidentally deletes a survey, you want to make sure you have a copy somewhere safe.

5. Filter surveys by keywords like “test”, “sample”, “example”, “copy” or other words that may indicate inactivity. These might be good candidates for removal. Remember to always export and backup copies of surveys before deleting.
