While many of our clients need to collect as many responses as possible, others need to set a hard limit on their responses counts. For a variety of reasons, they may need to cap responses in total or at the user or survey levels. Checkbox Survey’s ‘Response Limit’ feature allows survey editors to collect exactly the number of responses they need to build their reports or meet their particular survey guidelines.

To set response limits for your account or survey, navigate to the Survey Editor and select the Permissions menu item. Under the Response Options header you will see two important options:

  • The Maximum Total Survey Responses feature allows you to enter any positive integer value. Leaving this field blank will allow an infinite number of responses. If you do set a number for this value then respondents will be able to start new responses as long as the response count has yet to reach that value. Once the value is reached no more responses can be started or completed.
  • The Maximum Responses Per User feature allows you to enter any positive integer value. Leaving this field blank will allow an infinite number of responses. If you do set a number for this value then a respondent will be able to start new responses as long as the response count has yet to reach that value. Once the value is reached no more responses can be started or completed.

These response limits are not set in stone. If you collect 100 responses and then realize that you need to allow another 100 respondents to complete your survey, you can simply update your response limit value.

You may be asking yourself why a survey admin would ever want to set response limits in the first place.

Common example: Your marketing manager provides you with 1000 email addresses to send a new feedback survey to. For this survey the marketing team wishes to give away coupons to 100 respondents. These coupons are for the first 100 respondents only and all other respondents need to be prevented from taking this survey. Max Total Survey Response limit can provide this functionality.
